Position Overview:

ClosingCorp is looking for a talented and highly-motivated individual to provide administrative support on a part-time flexible basis, expected about 10 hours/week. Work location will be in our Mission Valley headquarters office with some limited remote support as needed. Great opportunity for someone looking to work just a few hours each week with great people in a casual environment, nice and conveniently located office and earn a supplemental income.

Duties and Responsibilities:

  • Maintain office supplies and facilitate inventory management process in efficient and cost-effective manner
  • Serve as property management liaison for office locations
  • Serve as primary contact for facility vendors and to employees for facility needs
  • Provide mail distribution and related support
  • Assist in the management and execution of trade shows, board meetings and client visits
  • Create/compile/track routine and on-demand reports
  • Book and manage travel in a cost-effective way for sales and executive teams
  • Provide support of data entry into SalesForce CRM as needed
  • Assist with planning, communications and reporting for company events
  • Provide scheduling and general administrative support as needed
  • Manage all responsibilities with a clear understanding and adherence to financial budget and ability to provide best value and experiences with attention to most important details

Required Experience and Skills:

  • High school diploma required and Bachelor’s degree preferred
  • Strong organizational skills and an ability to effectively multi-task
  • Communicates clearly, delivering messages with desired results; listens effectively; builds rapport, and relates well with all levels inside and outside of the company
  • Strong written, verbal and presentation skills; understands importance of frequent and effective communication
  • Politically astute. Ability to interact easily with all levels within the organization; tactful and mature
  • High level of collaboration and influencing skills required
  • Demonstrates a sense of urgency to overcome obstacles and achieve measurable results. Take-charge individual who is both resourceful and driven
  • Strategic thinker who anticipates needs and consequences and creates effective strategies and plans
  • Energetic, friendly, professional demeanor
  • Very strong personal initiative – a problem solver
  • Highly flexible and adaptable to adjust schedule to meet fluctuating business needs
  • Two+ year successful experience in an administrative capacity strongly preferred
  • Proficient in Outlook, Excel, PowerPoint, Word and other common applications, including SalesForce
  • Creativity, writing and design skills will be highly valued
  • Must maintain 100% confidentiality with sensitive information
